Commissioning handover: what should operations receive?

If project knowledge has not transferred to operations when a system is commissioned, handover is incomplete. A useful handover package helps teams trace changes, assess faults and plan maintenance. Currency, findability and ownership matter more than the number of files.

Identify one as-built baseline

Verify that field changes are reflected in drawings and software records. Tie the final project version, controller backup, display files, network drawing and I/O list to one handover revision. Use dates, revisions and approval records instead of names such as “final2”. Distinguish archive copies from the operational baseline.

Include tests and outstanding items

Connect FAT, SAT and retest records to requirements. For each unresolved item, state the operational consequence, owner and target date. A temporary measure must not appear to be a permanent resolution. Record the conditions under which the system was accepted.

Bring knowledge into operating routines

Include operator training, maintenance permissions, backup schedules and support contact arrangements. Clarify license ownership and access responsibilities within the organization. Schedule an early post-handover review to capture missing documents, unclear displays or gaps in maintenance information.

Review with your team

  • Is there one defined as-built revision?
  • Do open items have owners and dates?
  • Are backups, license records and support details accessible?

Next step

To map these points to your plant scope, use the project preparation checklist. An engineering discussion can review installed conditions, open questions and priorities together.
